You should make sure that your company phone becomes an effective and efficient bridge between you and your customers. It is not enough to just acquire a regular business telephone for your operations. You need to know what your company needs and be able to provide the services that will help your company succeed. This means that you should be able to have the finest and most useful communication tools and services.

Many business owners would think that having a VoIP phone service is already enough to provide an effective communication service for their enterprise. The truth is, although it is indeed a very helpful tool, a company still needs some other phone features and services to have the best out of the phone system. To know more about what a company needs, here are 4 essential features you should acquire.

  1. Voicemail – One of the most important communication tools your company phone should possess is a voicemail system. Through a this phone service, you will be able to receive important calls and voice messages even if you are out of your office or if it is past office hours. This is very useful not only to small businesses but also to customers and business partners as they would not need to redial phone numbers over and over again just to convey the message they want to convey. On the other hand, companies can even access their voicemail inboxes from their mobile phones, home phones or any other gadget which can connect to the Internet making it even more accessible and easy for them to listen and respond to messages.
  2. Virtual PBX – Another tool you can have in your company phone is virtual PBX. This phone system assigns extension numbers to multiple phones allowing your employees to conveniently call each other. This can be best utilized by small businesses whose team members are scattered in various states. Not only will it help your employees build relationships with each other but it also helps them save time and effort as well.
  3. Toll free Number – One very interesting and helpful tool that you can also use is a toll free number. With an 800 phone, you have the ability to provide free calls to your customers. They will not be charged with the costs of the calls because you will be the one to shoulder the charges. This means that they would not hesitate to call your company even if they are from a different state or even outside the U.S. Moreover, customers would not worry about long distance call charges and other extra expenses anymore. Hence, you will be attracting more prospective customers resulting to more possible revenues.
  4. Conferencing – Another service which your business phone should possess is conferencing. By the word conferencing, this tool allows multiple people to be part of a single call. This is best for small businesses whose team members are working from different states and are operating a virtual office. Like a VoIP phone service, this feature can also provide your industry the opportunity to hold meetings or conferences through your company phone.

virtual-officeWhat exactly does this innovation do for business owners who are still on the start-up stage of their small businesses? There are so many benefits which this set-up could provide the business owner. It is just a matter of informing them about the advantages of the set-up to make them subscribe to it.

The benefits that virtual office would provide

  • Cost saving service – The main reason why a lot of small businesses fail is because of their losses. They spend a lot of cash trying to keep the business alive while it does not collect enough profit to sustain itself. Thus, it is important for business owners to look for alternative tools in order to save up and cut costs. One of the setups in order to have a great cost saving tool is the virtual office. It allows business owners to procure a location provided by the phone service provider which could either be a small office space to a whole floor in a known building. Because these spaces are cheaper than actually renting or leasing the place, small businesses can save up on rental expenses. Owners would only have to pay a fraction of the normal costs. Another benefit is that it could be set up with a VoIP phone service. This would save up costs from actually having to subscribe to another phone line. Moreover, business owners need not hire extra employees just to accommodate their increasing number of clients. They could simply acquire an automated receptionist and automated attendant to do the job.
  • Keeping a professional image - One important factor in keeping any business alive is its professional image. This factor shows how a business deals with its clients. It is easy to attract more clients with a very good professional image with the business. This is exactly what a virtual office would provide the business.
  • Mobility and flexibility - Most small business owners are usually stuck in their office trying to sort up and do business. This still happens even with the application of gadgets in a business’ VoIP phone service. A virtual set-up, however, would allow the owner to be outside the office while doing business.

Business owners do not actually have to man offices just to do business. They could simply use these offices as a meeting place with their clients. By integrating their VoIP services with the office, it would provide them the best mobility. They would be reached by their clients anywhere they are and be able to do business with them.

There is so much that this service can provide any small business owner. They would be able to expand their business quickly and reach success in no time. These are just some of the many benefits why it is recommended that small business owners should start with a virtual office.
